THE BACKDROP STATION – TERMS & CONDITIONS

1. Agreement
By paying a deposit, making a booking, or accepting a quote with The Backdrop Station, you agree to the following Terms & Conditions. These terms form a legally binding agreement between The Backdrop Station and the Hirer (client).


2. Booking & Payments
A non-refundable deposit is required to secure all bookings. No date is held until a deposit has been received.
The remaining balance must be paid prior to the event date unless otherwise agreed in writing.

Failure to complete payment by the due date may result in cancellation of the booking and loss of deposit.

All payments made are strictly non-refundable.


3. Cancellations & Changes
All deposits and payments are non-refundable under any circumstances.

If the Hirer cancels:

  • More than 14 days prior to the event: payments may be transferred to a future booking within 3 months at the sole discretion of The Backdrop Station.

  • Within 14 days of the event: all monies paid are forfeited.

Date changes are subject to availability and are not guaranteed.

The Backdrop Station reserves the right to cancel any booking due to unforeseen circumstances. In this unlikely event, a full refund will be issued.


4. Setup & Pack Down
The Backdrop Station will deliver, install and pack down hired items at an agreed time.
The Hirer must ensure:

  • Clear access to the setup area

  • Adequate space

  • Nearby parking

  • Permission from venue for installation

Additional fees may apply for:

  • Stairs

  • Long walking distances

  • Difficult access

  • Paid parking

  • Extended waiting time

Pack down times are pre-arranged. Late pack down or delays caused by venue or guests may incur additional fees.


5. Responsibility for Equipment
All hired items remain the property of The Backdrop Station at all times.

The Hirer is fully responsible for all equipment from the time of installation until collection. This includes responsibility for damage caused by:

  • Guests

  • Children

  • Venue staff

  • Third parties

Any damage, loss or theft will be charged to the Hirer at full replacement or repair cost.


6. No Moving Policy
Backdrops, props, plinths and balloon installations must NOT be moved once installed.

Any movement, repositioning or tampering by the Hirer, guests or venue staff voids all liability of The Backdrop Station.
Any resulting damage will be charged to the Hirer.


7. Balloons & Styling Disclaimer
Balloons are a decorative item with a limited lifespan.
The Backdrop Station does not guarantee balloons will last for any specific duration due to:

  • Heat

  • Wind

  • Sun exposure

  • Venue conditions

  • Handling after installation

No refunds or replacements will be provided for balloon popping, deflation or deterioration after setup.


8. Outdoor Installations & Weather
Outdoor setups are at the Hirer’s risk.

The Backdrop Station is not responsible for damage caused by:

  • Wind

  • Rain

  • Heat

  • Weather conditions

  • Environmental factors

We reserve the right to refuse or modify installation if weather conditions are unsafe.
No refunds will be issued due to weather once installation has commenced.


9. Damage & Cleaning
Items returned excessively dirty, stained or damaged will incur a cleaning or replacement fee.
This includes but is not limited to:

  • Paint

  • Food

  • Drinks

  • Tape

  • Glue

  • Wax

  • Marker or pen


10. Venue & Safety
The Hirer is responsible for ensuring the venue permits installation of backdrops and balloons.
The Backdrop Station will not be liable for any venue restrictions or refusal once setup has commenced.

All equipment must remain in a safe environment and not be exposed to hazards.


11. Photography & Marketing
The Backdrop Station reserves the right to photograph all setups and use images for marketing, website and social media purposes.

If the Hirer does not consent, this must be requested in writing prior to the event.


12. Force Majeure
The Backdrop Station is not liable for failure to perform due to circumstances beyond our control including but not limited to:

  • Extreme weather

  • Illness

  • Accidents

  • Vehicle breakdown

  • Venue access issues

  • Government restrictions

In such cases, we will make every effort to reschedule or provide alternative solutions.


13. Acceptance of Terms
Payment of deposit or invoice confirms acceptance of these Terms & Conditions in full.

The Backdrop Station reserves the right to update Terms & Conditions at any time without notice.
